For many years business rubber stamps have been used to identify documents. But, they are not the best way solution for document identification. Expensive and time consuming, rubber stamping documents can create unnecessary risks to business security.

One rubber stamp is not enough to meet all the needs of a business in document identification. Obviously a stamp that says 'customer copy' cannot be used as an approval stamp. And, everyone who uses a stamp will want their own one. A single stamp is not cheap and with multiple requirements the costs add up very quickly.

The manual stamping process is time consuming and boring for individuals. Doing more than one copy or every page of every copy is monotonous. This is time that could be better spent on activities that help the business service its customers, and become more successful.

When stamping every page of a large report it is easy to skip pages when they get stuck together. The unmarked pages can cause a problem by being altered and then stamped later. When only specific pages have to be identified it can take even longer. Using the wrong stamp or stamping the wrong page means getting a new copy and starting again.

Have you ever tried to read a page that has been stamped with ink? The ink can blur the content and sometimes obscure it altogether. However, if you place the stamp in the blank area of the page it is quite easy for someone to cover it up and produce a copy without any stamp at all.

Stamps are not secure. They are left lying around where anyone can pick them up and use them. How will you know if a document has been stamped by an authorized person or someone who is trying to bypass the security of the stamping system? They do not even have to use one of the stamps owned by the business as anyone can purchase a rubber stamp easily.

These small pieces of office equipment are easily stowed in a pocket and are not difficult to steal. A business needs to work out a way to protect their really important stamps. The ones that can be used to make a fraudulent document look real, like signature stamps, are particularly at risk.

Errors in the use of business rubber stamps mean it is easy to fake a copy of a document without the stamp. And, because they are so easy to get people can stamp documents themselves without the proper approvals. Add to this the cost of having the stamps made and they should not top the list of ways to implement document identification in a business.
