Projects that are considered worthy of implementation must have some form of documentation that provides various views of the undertaking, such as project management templates. Some of these documents have a very broad scope and could be likened to a "bird's eye view" of the project. Some of these documents are very detailed such as tasking and scheduling.

Such a requirement of detailed documentation has received much study and it has been identified by a prestigious management group has identified at least 50 separate documents required for a specific stage of project implementation.

The advantage of documenting project implementation is to assist the company in developing project management template that can be used in future project for effective reporting. Getting the correct information to report back to appropriate audiences, like investors and employees, is important in any business's success. Outlining successes, failures, and changes is always better for more efficient and effective management.

When a project document is created based on a template, a document structure is already enabled, and this may contain headings and subheadings. The headings serve as guidelines so that the appropriate information can be entered.

Most project documents have already been standardized and in fact they already have names. One document is called the Business Case. For investors, this is the document that convinces them that there is an opportunity to make money. It justifies the need for the project and describes the problems that make the project necessary. Alternative solutions to solve the problems are given and the same time stating the cost/benefit analysis for each case.

To be able to write a convincing business case, the required information must be present and the sequence of the document must be in a way that grabs the eye of investors. Writing a Business Case based on project management templates makes the job easier for the writer because the template is based on best practices of making project documentation.

Such best practices came out because of the need for effective documentation and are distilled from hundreds of thousands of projects whether or not such projects have been successful. There are project management templates available in different formats. One of the most popular formats is the document template that can be opened in popular word processing software. Other templates are also made for spreadsheet applications. Whatever the format, the template behind the document ensures that there is a logical flow of information, and that the required data is being captured.
